Stand Construction Requirements

General Terms and Conditions of the Digital Participant Handbook for those participating in exhibitions and other events at the RAI Amsterdam Convention Centre in Amsterdam.

In the following text, the following terms are defined as:

  • Organizers: The entity mentioned as such in the Participation Terms
  • Building: The RAI Amsterdam Convention Centre in Amsterdam
  • Exhibitor: The company, organization, or institution occupying stand space at the exhibition
  • Exhibition: The exhibition or trade fair to which these General Terms and Conditions apply

 

General

The costs of stand construction and decoration, technical connections, and the consumption of these connections are the responsibility of the participant. Construction and decoration can only take place after the stand design has been approved by the organizers. In addition, the fire regulations (see document 'General Regulations, chapter 4, fire regulations) must be considered. It may be necessary for certain stands to meet special requirements, about which the relevant participants will be informed. The organizers cannot accept liability for any costs resulting from this. Floors, walls, ceilings, and other parts of the building may not be damaged by drilling holes, or using nails, paint, glue, etc. (see General Regulations Article 12, Section C). Markings on the floor indicate the location of the stands; in case of doubt, it is advisable to consult the Event Management department. The aisles are usually covered with carpet; the remaining floor surface is painted.
 

Stand design

The stand design must be submitted to the organizer, PROVADA B.V., for review and approval no later than Thursday, May 8. PROVADA would like to receive a design with dimensions, such as the height of the side walls (if applicable) and the back wall. The stand design can be submitted via email to femke@provada.nl.
 

Minimum Stand Construction Requirements

Wanden

The partition walls with neighbors must be installed by the exhibitor and must have a height of at least 2.75 meters and a maximum of 5 meters. The participant with the highest wall must ensure that the difference with the neighbor is smoothly finished in solid white. It is necessary to document this in writing and submit it via email to femke@provada.nl. The form for this can be found in MY PROVADA.

Depending on the hall height, it may be possible to build higher than 5 meters, provided you have coordinated this with the organization and the neighbors. In the interest of your neighbors, you may only build higher than the standard height of 5 meters at a distance of 1 meter from your neighboring stand. The partition walls must therefore always be between 2.75 meters and 5 meters. This ensures that neither you nor your neighbors encounter unnecessary surprises. If the neighbors have no objections, and with the permission of both the organizer and the neighbors, this rule may be waived; it is necessary to document this in writing and submit it to PROVADA via email at femke@provada.nl.

Especially participants with an island stand or corner stand may find themselves short of wall space. Extra wall space can be created by extending the wall along one of the aisles. A logical solution, except that it gives visitors and opposite neighbors a view of a blank wall. This, of course, is not very elegant. If you need more wall space, you can also create additional walls within your stand space.

Note: Each aisle-facing side of a stand space may be closed off for a maximum of 50%, with a maximum of 5 meters (continuous). We reserve the right, if necessary and without giving reasons, to provide other guidelines.
